CSNSW Sports Portal Privacy Collection Notice

Catholic Schools NSW Limited ABN 46 619 593 369 (‘CSNSW’, ‘we’, ‘us’, or ‘our’) collects and handles personal information in accordance with the Privacy Act 1988 (Cth) and our Privacy Policy.

 

CSNSW Sports Portal

CSNSW collects personal information through the CSNSW Sports Portal (the ‘Portal’) to facilitate sporting activities and competitions for primary and secondary school students enrolled in Catholic schools in NSW (‘student(s)’).

 

What information we collect through the Portal

The personal information (including sensitive information) we collect through the Portal includes:

· student names; contact details; date of birth; gender; and health information such as medical reports and details about disabilities, illnesses and injuries.

· parent, carer or guardian names and contact details.

· information confirming payment of the sports levy fee or uniform purchase.

 

How we collect personal information

We collect personal information directly from students and parents, carers or guardians when you:

· create a Parent/Guardian account; or

· login to access and use the Portal; or

· contact us by telephone, email, or when you engage with us via social media.

CSNSW may also collect personal information from third parties including other schools, diocesan Catholic Education Offices (CEO) or Catholic Schools Offices (CSO), government departments, other organisations providing services related to sport, and medical and health practitioners.

 

Why we collect personal information

We collect personal information through the Portal to:

· provide a sports service to students. This includes creating and maintaining your Parent/Guardian account, staging sporting events and selection trials, and administering sporting pathways for students to progress to and earn selection in representative sports teams;

· satisfy our legal obligations including discharging our duty of care; and

· performing necessary administrative tasks associated with our primary purpose.

If you do not agree to us collecting personal information through the Portal, you may not be able to create a Parent/Guardian account, access the Portal or participate in some of our sporting activities.

 

Who we share your information with

We will only use or disclose personal information where necessary to carry out our functions and activities, or to fulfil a legal obligation. We may disclose personal information and/or sensitive information to: · Schools and staff at those schools (independent, Catholic systemic and public);

· Diocesan CEO or CSO;

· Government departments including the NSW Department of Education;

· Medical practitioners or allied health professionals (including first aid officers and paramedics)

· Our professional advisors, including our accountants, auditors and lawyers;

· Our contracted or approved service providers, so they can provide you with the services that form part of the Portal for example, organisations that provide you with sporting uniforms and related products requested by you or payment processors who process your payment;

· Our approved technology service providers who assist us with the operation and maintenance of the Portal;

· Our insurers and insurance brokers;

· Organisations providing facilities, such as sportsgrounds and venues, for use by us;

· Anyone authorised by you;

· Anyone to whom we are required by law to disclose personal information to, including under child protection laws.

Please note, personal information collected from students is regularly disclosed to their parents, carers or guardians.

On occasions, information such as sporting achievements and results may be published on our website and in other publications we provide. This information may include photographs and videos of students’ activities. We will obtain written consent before publishing that information from students’ parents, carers and guardians and/or from the student/s. Credit card payments may be processed via a secure third-party payment gateway. These providers handle financial information in accordance with their own privacy policies, which we encourage you to review.

 

Access to and correction of your personal information

Our Privacy Policy contains information about how an individual may access personal information held by us and seek the correction of such information as well as how they may make and how we deal with privacy complaints. Access may be refused in certain circumstances, with such refusal notified in writing and with reasons where appropriate.
